To register as an exhibitor at the Texas Pinball Festival, start by visiting our official website and navigating to the Exhibitor section. Here, you’ll find the registration form that needs to be filled out with your company details and booth preferences. Ensure all fields are completed accurately to avoid any delays in processing.

Once your registration is submitted, you’ll receive a confirmation email with further instructions and a link to download necessary documents. Please review these documents carefully, as they include important information about booth setup, event schedules, and exhibitor guidelines. If you have any questions, our support team is ready to assist you.

Space Size.
Each single Exhibitor space includes 2 Exhibitor passes. Double space includes 4 passes. Custom spaces will include agreed space and number of passes. There are no discounts if fewer passes are needed. All Exhibitors are listed on the TPF website Exhibitor page. Floor location is not guaranteed, but we will do our best to accommodate requests. Booth sharing or subletting is prohibited w/o prior approval. Exhibitors are responsible for ensuring your space is adequate to contain your display and not encroach on neighboring Exhibits or aisles. Electronic Floor plan: we are going to share as early as we possibly can and provide electronic access via our webpage (so Fans can find you easier). We are working to distribute our larger attractions evenly to best distribute traffic. While we will do our best to minimize changes, this sometimes happen due to last minute game releases or fire marshal requirements, so understand that there might be slight last min changes to the plan and we do our absolute best to minimize impact.

Number of Games
How many games do you expect to have in your booth ( we realize this is your best guess at the moment, but it's just for us to figure out power). All games exhibited in exchange for a weekend pass (Collector or exhibitor) must be set to free play and available for attendees to play all weekend. Games are subject to an early removal fee of $100 if the game leaves the hall prior to the end of the show (and may be required to wait until early or late hours based on hall occupancy for safety concerns). Collector and Exhibitor access (wristband color) are the same. Please register your "free pass" games using the online TPF Exhibitor portal and note your company name on the registration. If your registered games will not fit inside your booth area, they will be placed in the Collector rows as close to you as possible. If the title of the game(s) changes, just let us know or we can fix it during show set up. All games must include owner name and a contact phone number. Enter zero if your booth doesn't display games.

Shipping
Exhibitors and collectors are responsible for delivery to and from the show and arranging a shipping servicing. The hotel will accommodate pallets delivered prior to the show. Should you attempt to have your delivery arrive earlier than Wednesday the week of the show; Let us know. We will coordinate with the hotel, there may be a $50/day Hotel storage fee per day per pallet depending on how busy the hotel is. We will do everything we can to help coordinate, so let us know at info@texaspinball include "Attn: Shipping" in the subject please.

Show Program
The Texas Pinball Festival will have a full color, multi-page, 5.5" x 8.5" show program. The program will include the show schedule, guest speaker info, show info, articles, and of course, advertising. We plan on printing and distributing 2000 programs to our show attendees. Number of pages in the program will be determined by the amount of content. 2025 Texas Pinball Festival program advertising rates are as follows:

Add a full color 3’ x 8’ vertical vinyl banner hanging from the ceiling above your booth. You provide the artwork; we’ll do the rest.

Social Media Promotion: $50
Please provide a 30 second video, simple is best, that talks about what your company is promoting at the show. We will do a paid promotion on our social media channel(s) as well as present on the Monitor loops in the dining and gift shop area of the show. Along with the electronic floor layout, this should make it easier for FAN’s to find your booth and understand your product.

We realize that not every Exhibitor will be ready, but last year most of you were already, or can use some help… We don’t want people in the way and if a game is off or in testing set up mode they can play. We plan on listing booths that are ready for business on-line and on our displays in the dining, entry and gift shop areas.

Check-in Requirements

First, we want to say thank you for participating in this year’s show. Without your support and your games, there would be no show at all. In order to keep the game list as up to date as possible, please notify us of any changes to your registration (game title, pass names, etc.) by email.

Now… let’s get to it. We know this is a lot of reading, but there’s a lot of important information here…

For those that have participated in previous shows, much of this will seem familiar, but there are always a few new things that come up. Let’s start with an overhead view of the facility. The loading zone is marked in red. Note that there is a new location for overflow truck parking outlined by the city. Please observe it. The circus is in town during the show which means we have to share the lot with them. If you park in the spaces allocated for them you will be towed.

Exhibitor Move-In and Move-Out Schedule

Exhibitors are invited to begin setting up their booths on Thrusday, March 19th, starting at noon. Please ensure all setup is completed by 4:00 PM on Friday the 20th. Move-out will commence on Sunday, March 22nd, at 2:00 PM and must be completed by midnight. 

To facilitate a smooth transition, we recommend arriving early and coordinating with our staff for any special equipment or assistance required. Detailed maps and instructions will be provided upon registration to ensure a seamless experience.

For safety reasons, all exhibitors must adhere to the designated move-in and move-out times. Any exceptions must be pre-approved by the event management team. We appreciate your cooperation in maintaining a safe and organized environment for all participants.
